These terms govern bookings and services provided by [LEGAL ENTITY NAME], doing business as North Carolina Studio. By booking with us you agree to them.

1. What we provide

Studio hire is a licence to use the space for the booked period. It is not a lease and grants no tenancy or possessory interest.

2. Booking and payment

Bookings are made through our website and confirmed once payment is received. A booking is not held until it is confirmed — a slot in your cart is not reserved.

Prices are as shown at the time of booking. We may change published rates, but never for a booking already confirmed.

Where a deposit option is offered, the deposit reserves the session and the balance is due by the date stated in your confirmation. If the balance is unpaid by the session date, we may release the slot.

Prepaid hour blocks expire on the date shown at purchase. Memberships bill monthly and continue until cancelled.

3. Changing or cancelling

Reschedule: yourself, up to 24 hours before your session, up to twice. Inside that window or beyond two changes, contact us and we will do what we can.

Cancel: yourself, more than 48 hours before your session, for a full refund. Inside 48 hours the booking is non-refundable, though you may still move it to another time.

Seasonal portrait sessions

Reschedule: yourself, up to 24 hours before, up to twice, subject to another slot being available.

Cancel: deposits are non-refundable. These sessions run on a fixed schedule with limited slots, and a cancelled slot rarely refills at short notice. If something serious has happened, email us — we will always talk about it.

If we cancel

If we cancel for any reason — equipment failure, weather, illness, anything else — you receive a full refund including any deposit, or the option to move to another date. That is the extent of our liability for a cancelled session.

Late arrival

Sessions start and end at the booked time. Arriving late shortens your session; it does not extend it, because someone is usually booked after you.

4. Using the studio

Your booking includes the time you reserved. Set-up and pack-down happen inside that time, not before or after.

While you are in the building you agree to:

Prohibited without written permission: smoking or vaping anywhere in the building; open flame, pyrotechnics or smoke machines; confetti, glitter, powder or anything similar; adhesives, nails or screws in any surface; food or drink on the cyc wall or seamless paper; drilling, painting or permanent alteration of any kind.

We may end a session immediately and without refund if these terms are breached, if anyone present is behaving unsafely, or if anyone is under the influence of alcohol or drugs.

5. Equipment and damage

Lighting, backdrops, sets, furniture and props are included and provided as-is. Check anything you plan to rely on at the start of your session.

You are responsible for damage caused by you or anyone you bring, beyond normal wear. That includes torn seamless paper beyond ordinary use, damaged sets or props, marks on the cyc wall, and damaged lighting or equipment. We will invoice at replacement or repair cost.

Ordinary wear is expected and never charged. Tell us if something tears or breaks — we would rather know than find it.

Your own equipment is your responsibility. We provide no storage and accept no liability for loss, theft or damage to anything you bring, whether during your session or left behind afterwards.

6. Photographs, film and ownership

Work you create is yours. We claim no ownership, licence or usage rights over photographs or footage you produce in our studio. We do not access or retain it.

Work we produce for you under a production agreement is governed by that agreement, which sets out ownership, licensing and delivery.

Seasonal portrait sessions: you receive a personal-use licence to the edited images we deliver — print them, share them, send them to family. We retain copyright. We will not use images of you or your family in marketing without your separate written permission.

Our space: we photograph and film our own facilities. We will not publish anything identifying you, your clients or your work without permission.

You are responsible for your own releases. If you photograph people in our studio, obtaining model releases and any necessary permissions is your responsibility, not ours.

7. Children and minors

Children are welcome and attend our seasonal sessions regularly.

Anyone under 18 must be accompanied and supervised by a parent or guardian for the whole time they are in the building. We do not supervise children, and staff presence is not supervision.

A booking involving a minor must be made by an adult, who accepts these terms on their behalf.

8. Safety and liability

You use the studio, equipment and building at your own risk.

To the fullest extent permitted by North Carolina law, [LEGAL ENTITY NAME] is not liable for injury, illness, loss or damage to persons or property arising from your use of the premises, except where caused by our gross negligence or wilful misconduct.

You agree to indemnify and hold us harmless against claims arising from your use of the space, including claims by people you bring or photograph.

Our total liability for any claim is limited to the amount you paid for the booking it relates to. We are not liable for consequential losses — lost work, missed deadlines, lost client relationships or lost income.

We recommend that commercial users carry their own liability and equipment insurance.

9. Production services

Production work is quoted separately and governed by the written scope you approve. In the absence of anything to the contrary in that scope:

10. Memberships and prepaid hours

Memberships bill monthly in advance, continue until cancelled, and can be cancelled at any time through your account. Cancellation takes effect at the end of the current period. We do not refund part-months.

Member rates apply to bookings made while the membership is active. Cancelling ends the rate immediately; bookings already made and paid are honoured.

Prepaid hours are non-refundable and expire on the date shown at purchase. They may be transferred to another person once, with our agreement.

11. Private offices

Office tenancies are governed by a separate written lease, not by these terms. The waitlist creates no obligation on either side and is not an offer to lease.

12. Text messages

If you opt in to text messages, message frequency varies by booking, typically 2–4 messages per reservation. Message and data rates may apply. Reply STOP to opt out or HELP for assistance. Opting out of texts does not cancel your booking; we will continue to email you about a session you have reserved.

13. Website

Site content, design and photography are ours or used with permission. You may not reproduce them commercially without written consent.

We aim to keep the site accurate and available, but do not guarantee either. Prices and availability shown may contain errors; we will honour a confirmed booking at the price you paid.

14. General

Governing law. These terms are governed by the laws of the State of North Carolina. Any dispute will be brought in the state or federal courts of Lee County, North Carolina.

Changes. We may update these terms. Changes apply to bookings made after they are published; a confirmed booking is governed by the terms in force when you made it.

Severability. If any provision is unenforceable, the rest remains in effect.

Entire agreement. These terms, together with your booking confirmation and any separate written agreement, are the whole agreement between us.
